How we collect, use and protect your personal data.

Last updated: 20 September 2026

This notice explains what personal data Crystal Clear Cleans collects about you, why we collect it, what we do with it and what rights you have over it. We handle personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are and how to contact us

Crystal Clear Cleans is a professional cleaning company providing residential, deep, end of tenancy, Airbnb, post-construction and commercial cleaning services in London, United Kingdom. For the purposes of data protection law we are the data controller for the personal data described in this notice.

We do not publish a street address. You can reach us at:

Crystal Clear Cleans is an independent cleaning business trading in London. We are not a registered limited company, so there is no Companies House number to quote. We do not operate from premises open to the public and therefore do not publish a street address; the email address and phone number above are the correct and monitored ways to reach us about your data.

Questions about this notice, or about how we handle your data, should be sent to the owner of Crystal Clear Cleans at info@crystalclearcleans.co.uk, who is responsible for data protection in the business. We aim to respond within five working days.

What personal data we collect, and how

We keep the amount of personal data we hold deliberately small. We collect it in three ways.

Information you give us through the contact form

When you submit the enquiry form on our contact page, we collect:

  • Your name, so we know who we are replying to.
  • Your email address, so we can send you a quote or a reply.
  • Your phone number, so we can call or message you about the enquiry.
  • Your postcode, so we can confirm we cover your area and price the work.
  • Your message, with the details of your enquiry, including anything you choose to tell us about the property, the rooms involved or the type of clean you want.

Please only include in the message field what is needed for your enquiry. There is no need to send us sensitive information, and we do not ask for any.

Information you give us directly

If you contact us by email, phone, WhatsApp or social media, we hold whatever you choose to tell us in that conversation. If you go on to book a clean, we also collect the service address and access arrangements for the job (for example, key or entry instructions), and the dates and times agreed.

Information collected automatically

With your consent, we use Google Analytics to see how the website is used, described in the next section. We do not use advertising cookies or build profiles of individual visitors. Our fonts are self-hosted, so loading a page does not send a request to a font provider. Like any website, our hosting provider records basic technical logs (such as IP address and the pages requested) for security and to keep the site running; these logs are held by our host and are not used by us to identify or track individuals.

Google Analytics and cookies

If you accept analytics cookies in the banner shown on your first visit, we use Google Analytics 4 to count visits and see which pages and buttons people use, so we can find out what is useful and fix what is not. It records the pages you view, roughly where you are (town or city, not your address), the type of device and browser you use, how you reached the site, and actions such as pressing a call, WhatsApp or quote button or sending the enquiry form. It does not receive anything you type into the form, and we do not send Google your name, email address or phone number.

If you reject them, or do not answer, Google Analytics is not loaded and sets nothing. If you accept, to tell one visit from another it sets two first-party cookies on your device, _ga and _ga_7KC9ZEXJ2Z, which hold a random identifier and last for up to two years. Google Analytics 4 does not log or store IP addresses. Google processes this information on our behalf, under its own terms and its privacy policy at policies.google.com/privacy.

You can change your mind at any time with the "Cookie settings" button at the bottom of every page. Choosing Reject there switches Google Analytics off and deletes its cookies. The website works in exactly the same way either way. We remember your choice in your browser's local storage, which is not shared with anyone.

The Google Maps embed on our contact page

Our contact page includes an embedded Google Map showing our service area. This is the only third-party embed on the site. When that page loads, the map is requested from Google, and Google may set one or more cookies on your device and receive your IP address and browser information. This happens as soon as the page loads, and is controlled by Google rather than by us. Google acts as a separate data controller for that processing, under its own privacy policy at policies.google.com/privacy. If you would rather this did not happen, you can avoid the contact page and reach us by email or phone instead, or block third-party cookies in your browser.

Apart from Google Analytics and the Google Maps embed, we set no other cookies, and none for advertising.

Why we use your data, and our lawful bases

UK GDPR requires us to have a lawful basis for each use of your personal data. Ours are:

  • Legitimate interests: to read, answer and follow up on enquiries you send us, and to keep a record of quotes given. Our legitimate interest is running and growing a cleaning business by responding to people who ask us for a price. We only use your details for the enquiry you made, and we consider this to be what you would reasonably expect when you contact us.
  • Performance of a contract: where you book a clean, to arrange access, schedule the visit, send the right team to the right address, invoice you and deal with anything arising afterwards.
  • Consent: where we ask for it, for example for analytics cookies, or if you ask us to keep your details on file for future work or to send you occasional service updates. You can withdraw consent at any time, and doing so does not affect anything we did before you withdrew it.
  • Legal obligation: to keep records we are required to keep, such as financial records for tax purposes.

How we use your data

  • To reply to your enquiry and prepare a written quote.
  • To agree a date, time and scope for a clean, and to arrange access to the property.
  • To give the cleaner or team assigned to your job the information they need to carry it out.
  • To take payment and keep accounting records.
  • To deal with questions, re-cleans, complaints or insurance matters relating to a job.
  • To protect our business, for example by keeping a record of an incident at a property.

We do not use your data for automated decision-making or profiling.

Who we share your data with

We share as little as possible, and only where it is necessary:

  • The cleaning staff assigned to your job: they receive your name, the service address, access arrangements and the agreed scope of work, so they can turn up and clean. They are bound by confidentiality and only receive the details of the jobs they are working on.
  • Our service providers: the companies that host our website and handle our email and form submissions, and our accountant for invoicing and tax records. They process data on our instructions only.
  • Google: in respect of Google Analytics and the Maps embed, both described above.
  • Insurers, professional advisers or authorities: where we need to make or defend a claim, or where the law requires us to disclose information.

We never sell your personal data, and we never share it with third parties for their own marketing.

How long we keep your data

  • Enquiries that do not become bookings: kept for up to 12 months from your last contact, then deleted.
  • Customer and booking records: kept for the duration of our working relationship and then for up to 6 years afterwards, to cover any claim or query arising from the work.
  • Financial and invoice records: kept for at least 6 years, as required for tax purposes.

When a retention period ends we delete the data, or anonymise it so it can no longer identify you.

How we keep your data secure

We use appropriate technical and organisational measures to protect your data: the website is served over an encrypted HTTPS connection, access to enquiries and customer records is limited to the people who need it, accounts are password-protected, and staff are told to treat client information as confidential and to share it no further than the job requires. No system can be guaranteed completely secure, but if a breach occurs that is likely to risk your rights and freedoms, we will report it to the Information Commissioner's Office within 72 hours and tell you where required to do so.

Your rights

Under UK GDPR you have the following rights over your personal data:

  • The right of access: to ask for a copy of the personal data we hold about you.
  • The right to rectification: to have inaccurate data corrected, or incomplete data completed.
  • The right to erasure: to ask us to delete your data, where there is no continuing reason for us to keep it.
  • The right to restrict processing: to ask us to pause our use of your data, for example while a dispute about its accuracy is resolved.
  • The right to data portability: to receive the data you gave us in a structured, commonly used, machine-readable format, or to have it sent to another controller.
  • The right to object: to object to processing we carry out on the basis of legitimate interests, and to object at any time to direct marketing.
  • The right to withdraw consent: where we rely on your consent, you may withdraw it at any time, without affecting the lawfulness of what we did beforehand.

To exercise any of these rights, email info@crystalclearcleans.co.uk or call +44 7908 985423. Exercising your rights is free, and we will respond within one month. We may ask you to confirm your identity first, so that we do not release someone else's data by mistake.

How to complain

If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO):

  • Website: ico.org.uk
  • Helpline: 0303 123 1113
  • Post: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF

Complaining to the ICO does not affect any other legal remedy available to you.

International transfers

We are based in the United Kingdom and our work is carried out here. We aim to keep personal data within the UK or the European Economic Area. Some of the service providers we rely on (for example email, website hosting, Google Analytics and the Google Maps embed) may process data outside the UK. Where that happens, we rely on an appropriate safeguard recognised under UK law, such as UK adequacy regulations for the destination country, or the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. You can ask us for details of the safeguards used for any particular transfer.

Changes to this notice

If we change how we handle personal data, we will update this page and change the "last updated" date at the top. Please check back from time to time.
